Privacy Policy

Cinefolder is a production app for film, video and photo crews. This page explains exactly what the app collects, why it needs it, who else sees it, and how to get rid of it. It is written to be read, not to be survived.

The short version

What we collect

Your account

Your email address and a password. Passwords are handled by our authentication provider and stored only as a cryptographic hash — nobody at Cinefolder can read your password.

Your profile

Your name, photo, role, credits, links and tags. Parts of your profile are deliberately public — that is the point of a shareable profile — and are visible to anyone with your profile link.

Contacts

If you grant contacts access, Cinefolder reads names, phone numbers, email addresses and social handles from your device's address book for the entries you choose to import, and stores them in your account so they are available across your devices. Cinefolder does not upload your entire address book in the background, and does not contact anyone on your behalf without you asking it to.

Location

With permission, your device's location is used to centre the scouting map on where you are. Separately, locations you save to a project — address, coordinates, photos and notes — are stored as part of that project. Cinefolder does not track your location in the background.

Photos, video and files

Images, video clips and documents you add to mood boards, locations, profiles, tasks or projects are stored on our servers so your collaborators can see them.

Production data

Projects, shot lists, schedules, call sheets, budgets, gear lists, tasks, treatments and the people assigned to them. When you send a per-person call sheet link, we record when that link was first opened, so you can see who has read the call sheet.

Who else your data reaches

We use a small number of service providers to run the app. They process data on our behalf and are not permitted to use it for their own purposes.

Worth calling out: document scanning. If you use “Scan into project” on a PDF, that document's contents are sent to Anthropic's API so its details can be extracted. Do not scan documents containing information you are not comfortable sending to a third-party service. This only happens when you explicitly tap scan — documents you merely upload are never sent anywhere for processing.

Sharing links

Cinefolder lets you share a call sheet, treatment, location or profile as a web link. Those links are unguessable but public: anyone holding the link can open it without an account, which is what makes them useful for crew and clients. They show only what that page needs — never your budget, and never your other projects.

You can revoke a link at any time from inside the app. Revoking it immediately breaks every copy of that link already sent.

Collaborators

When you invite someone to a project they can see that project's contents according to the role you give them. Financial information is restricted to owners and editors and is enforced on our servers, not merely hidden in the app.

How long we keep it

We keep your data while your account exists. Delete your account and we delete your profile, projects, contacts and uploaded files. Backups are rotated out within 30 days. Where we are legally required to retain something, we keep only that.

Deleting your account

In the app: Profile tab → Delete account. This is permanent and removes your data as described above. You can also email privacy@cinefolder.com and we will do it for you.

Your rights

Wherever you live, you can ask us to give you a copy of your data, correct it, or delete it, and you may object to how we handle it. If you are in the UK, EU, or a US state with its own privacy law, those rights are legally binding on us. Email privacy@cinefolder.com and we will respond within 30 days. We will not treat you differently for exercising any of them.

Children

Cinefolder is a professional tool and is not directed at children under 13. We do not knowingly collect their data. If you believe a child has created an account, email us and we will remove it.

Security

Data is encrypted in transit. Access to your projects is enforced at the database level, so a bug in the app cannot expose another person's project. No system is perfectly secure, and we will not pretend otherwise — but if we ever discover a breach affecting your data, we will tell you.

Changes

If this policy changes in a way that materially affects you, we will update the date at the top and tell you in the app before the change takes effect.
